Build the room list around the workflow
Identify dispatch positions, driver or vendor contact, private work, records, meetings, break needs, storage and shift overlap. Decide whether visitors enter the office or communicate through a controlled point. Ask for an exact floor plan and offered furniture rather than relying on a sample size.
List radios, computers, printers, charging, data and other equipment. Agricultural or industrial environments may introduce dust, mud, temperature swings or washdown activity outside the office; explain those conditions so entrances, finishes and maintenance responsibilities can be reviewed.
Protect people from operating traffic
Choose a location with a practical line of sight but a safe separation from trucks, forklifts, tractors and loading activity. Plan parking, walkways, barriers, lighting and access equipment together. The delivery route and later collection path also need to remain available.
Confirm ground condition, supports or foundation, drainage, power, data, heating/cooling, restroom, water or sewer and final connections. Remote sites may need special utility planning, but no off-grid system or service is assumed unless the supplier confirms it.
Match the agreement to seasons and operating changes
Construction, harvest, storage and distribution schedules can move. Ask about the minimum term, billing interval, extensions, relocation, maintenance, collection notice and pickup. Include setup before peak activity and contents removal after the operation changes.
If the office may become a long-term facility, compare purchase separately. A longer rental or lease is not automatically financing, lease-to-own or an ownership transfer.
