List staff counts, visitor traffic, meeting needs, communications equipment, document or equipment storage and any private conversations. Decide whether one open room works or whether production, security, finance or talent coordination needs separation. Verify the exact floor plan and offered furniture.
If the office will move during a multi-location production, state that requirement before the first quote. Relocation may change transport, setup, utility and access costs and should not be assumed to be part of the recurring rental rate.
Plan around a crowded temporary site
Document the delivery window, gate and route, turning and staging space, ground condition, overhead restrictions and separation from audience, crew and vehicle movement. Reserve the area needed for installation and later pickup. A building placed conveniently for one department should not obstruct emergency or production access.
Confirm power, data, heating/cooling, restroom arrangements, steps or ramps and final connections. Protect cables and utilities from active traffic. If temporary fencing or storage is needed, compare those as separate scopes through fencing and container pages.
Use the full event period in the agreement
The rental term may need to include advance setup, rehearsals or preparation, event or production days, strike and contents removal. Ask when billing begins, whether partial periods are charged, how extensions work and what notice is required for collection.
Request delivery, setup, recurring rent, services, permitted alterations, damage responsibilities and pickup as separate lines. Do not rely on a base rate that omits the short scheduling windows or site requirements.
Prepare an event or production office request
